Setting up an Entity as an Employee
The Add/Edit Employees Module step is used to set up an entity as a employee only. Information needed to process a paycheck can be set up in this Module step.
1. From the Payroll Module - Data Entry "Ribbon", choose the Add/Edit Employees Module step.
2. The Employee Editor form will be displayed.
3. Enter the employee information.
4. If the mailing or emergency address is the same as the employee's physical address, the employee mailing and emergency addresses do not need to be set. The Employee Editor will automatically set up the mailing and emergency addresses to be the same as the employee address. Press [Save] to save the changes and return to the Employee Editor form.
5. If the mailing or emergency address is different from the employee's physical address, press the [Address Info] or [Emergency Info] button at the top of the screen to enter the mailing and emergency information. The Select Billing Address Source pop-up will prompt you on how you want to enter the mailing or emergency address.
6. Choose the [View Payroll Info] button from the toolbar.
7. The Employee Editor - Payroll Information form will be displayed. Use this form to enter the employee payroll information. This information must be entered before a paycheck can be written for this employee. If all the information is not entered the system will change the employee status to Inactive.
8. When all the information you desire has been entered, press [Save] to save the information and return to the Employee Editor form.
9. If all the information necessary to process a payroll for the employee has not been entered, you will receive a warning message listing the fields that must be completed in order to save the employee with a status of Active.
10. Press [Yes] to return to the Employee Editor form in order to enter the missing information -or- Press [No] to save the employee. The system will change the employee status to Inactive.
11. When you finished entering employees, press [Close Window] to return to the main Module.
