Add/Edit Equipment Lists & Charge Codes
This Module step is used to setup equipment, categories, charge codes and expense codes.
Use the equipment tab to setup pieces of equipment that you want to track through the system. The system will track and report on equipment in two ways. First it will track equipment used on the job site through the information you enter in the Add/Edit Charges for Equipment Use Module step. Second, it will track the expense of maintaining the equipment. Fields are available when entering accounts payable invoices that allow you to identify which piece of equipment, the category of the expense and the type of expense. Then use the Equipment Expenses report on the Job Cost Module to total the cost of repair and maintenance on any piece of equipment.
Use the categories tab to setup categories of expenses, use the expense code tab to setup type of expenses. You will use these categories and expense codes during the input of accounts payable invoices.
Use the charge code tab to setup the types of work the equipment will be performing when used on a job. These charge codes will be used in the Add/Edit Charges for Equipment Use Module step.
"Ribbon" Field Description
Equipment Unit # The unit number for this piece of equipment.
Serial # The serial number for this piece of equipment.
Description The description for this piece of equipment.
Charge Rate The dollar amount per hour you charge when using this piece of equipment on a job site.
Status The status of this piece of equipment. Choices are: Available, Out of Service, Awaiting Repair, Assigned to a Job and Disposed/Released from Inventory.
Last Serviced The date this piece of equipment was last serviced.
Last Assigned The date this piece of equipment was last assigned to a job.
Purchase The date this piece of equipment was purchased.
Notes Enter any other information about this piece of equipment.
Charge Codes Code # The code number.
Description The description of the work the piece of equipment is performing at the job site.
Expense Codes Code # The code number.
Description The description of the type of expense incurred when repairing or maintaining the piece of equipment.
Categories Category The category of expense incurred when repairing or maintaining this piece of equipment.
