Entering Customer Payments
1. The Customer Payments form will be displayed. Select the customer to apply payment against.
2. The Customer Payment Information form will be displayed.
3. Enter the payment information.
4. Choose [Auto] to automatically apply the customer payment to the outstanding invoices, beginning with the oldest invoice -or- Choose [Manual] to manually select the invoices to pay.
5. You cannot apply more money than the amount that was entered as the customer payment amount (shown in the To Apply field at the bottom of the form). If you exit without applying the full payment amount or if the customer has made an overpayment, the screen will display a Create Credit Memo form.
6. Press [Cancel] if there are still open invoices to apply the payment to and you do not wish to create a credit memo for this customer -or- If the customer has made an overpayment, enter the Liability G/L Account number you want to charge the overpayment to and press [OK]. The system will create a credit memo for the amount of the overpayment. The credit will show as an invoice in the system and the Aged Accounts Receivable report will show that this customer has a credit on their account. Note: If you have created a credit memo for a customer by mistake, to clear up the credit memo you need to mark it as paid. To do this you would select the Apply Customer Payments Module step. Choose the customer and them enter a negative payment amount and pay the credit memo.
7. Once the customer payment has been applied, you can either choose the next customer to enter a payment for -or- Press [Close Window] if all the payments have been entered.
8. When you exit from the Customer Payment form, a Balance To Control Tape form will be displayed.
9. Choose [OK] if you wish to exit without balancing to the control tape -or- Press [View] to view a listing of the payments applied in this batch.
10. If you choose [View] the Deposit Slip form will be displayed.
11. Press [Print] if you need to print the deposit slip for the customer payments in this batch -or- Press [OK] if everything is correct. The system will return to the A/R Customer Payments form.
12. Press [Close Current Window] again and then choose [OK] from the Balance to Control Tape form. The system will update all the necessary files and return to the main Module.
